Description Of Role
Charcoalblue Experience are looking for an experienced and motivated Project Manager to join our team providing specialist AV project management services for Events and Experience spaces. This will involve collaborating with designers and project managers, architectural project teams and AV integrators delivering world-leading spaces and experiences.
While most of your projects will be in the EMEA and APAC regions, you may support projects around the world.
As a project manager, you will provide project management and leadership services for the successful delivery of Audio-Visual installations for both installed and loose equipment by third party vendors. You will be responsible for the coordination of all Performance AV-related elements to integrate into events and experience spaces and will take responsibility for some of our largest and most significant projects.
Key Responsibilities
- Provide project leadership for the successful coordination and delivery of installed Audio-Visual and performance technology systems for event and experience projects. Provide full project lifecycle ownership for assigned projects.
- Develop Project Execution Plans for the implementation and successful delivery of projects from initiation to deployment.
- Deliver progress reports, proposals, requirements documentation and presentations to key stakeholders and partners as required.
- Lead meetings and workshops required to deliver the project.
- Understand interdependencies between technology, operations, and business needs.
- Assist other project managers if assigned to their project team.
- Support the client team to establish baseline project budgets.
- Adhere to cost control procedures and be responsible for budget control; Provide regular cost updates throughout the project lifecycle reporting any deviations from budget.
- Lead the vendor bidding process: prepare bid documents, interview, and recommend vendors, and introduce project to the selected vendor.
- Report third party vendor fees/supply costs to ensure best price and quality is maintained.
- Prepare contract documents, scopes of work documents and Key Performance Indicators for vendors;
- Establish payment terms and conditions aligning with client’s vendor selection requirements.
- Coordinate the review of construction plans by the appointed performance technology design team and client team to ensure design information has been sufficiently adopted into the primary building design.
- Monitor the construction progress, identify potential risks, and be proactive in finding possible solutions.
- Schedule all vendors to meet overall project deadlines as they relate to the building process and first day of business, adapting schedules as required.
- Ensure system functionality before handover to the end user; Communicate changes to appropriate teams and liaise with the relevant Account Manager to adjust resources accordingly.
- Provide project close out documentation, including reconciliation of budgets to the team.
- Report on program performance to the relevant Account Manager.
- Provide recommendations on project development strategies to the relevant Account Manager on learnings and developments of project knowledge.

Essential
- Minimum five years of project management experience with a focus on architecture, construction, performance, design, or related fields.
- Experience with event spaces, theatre, performing arts, or buildings, either through direct experience or professional project management work.
- Demonstrated success managing planning processes, utilising construction terminology and building systems, and understanding overall project sequence/timing.
- Fundamental understanding of AV system functionality and installation process and techniques.
- Ability to read and comprehend project technical documents including, but not limited to engineering and architectural drawings, schedules, test reports, or commissioning documents.
- Proven ability to manage multiple projects simultaneously.
- Familiarity with typical project management tools (e.g., MS Project, Trello, Asana).
- Excellent written, verbal, and presentation communication skills including an excellent working knowledge of Microsoft and G Suite applications.
- Proven ability to manage complex budgets, including tracking, forecasting, and reporting.
- AV, IT, broadcast and/or telecommunications experience is advantageous.
- A formal qualification/degree in Project Management (Architecture/Interior/AV/Entertainment) strongly preferred.
- Relevant construction-related safety training is a plus.

This role is being offered as a permanent, full-time role.
Our standard full-time working week is 40 hours, flexible between 8am and 8pm Monday-Friday, plus an hour per day (unpaid) for lunch, with an understanding that flexible working hours will apply to meet our clients’ needs and to accommodate the company’s global time zones. Charcoalblue does not provide for the payment of overtime. The nature of the job could occasionally entail some work outside normal working hours.
There is a three-month probationary period for permanent roles.
We are currently working in a hybrid working model, meaning you will work from your home, or other place of your choosing, with regular working hours at one of our UK studios (London or Bristol). Additionally, some site visits and project meetings may be in person, as required.
We will provide you with the necessary IT hardware and software to enable you to carry out your role successfully in line with your duties.
Please note, the successful applicant must be based in the UK to effectively meet the current needs of our work, and you must be able and willing to travel to external meetings and our UK studios as required, with notice.
Annual Leave Entitlement
Take-What-You-Need (TWYN) Leave Policy: With prior arrangement, there is an opportunity for employees to benefit from additional paid leave days over their statutory holiday/annual leave allowance. You will receive 20 days’ annual leave minimum per annum (prorated in the first year and also prorated in a part-time position), plus statutory Bank Holidays.
We traditionally close our studios between Christmas and New Year’s Day, resulting in an additional average 4-5 holiday days per annum.

Salary
The salary range for this role is £49,000 - £ 62,000 per annum for a 40-hour week.
