Job Description:
Our client is seeking an experienced and highly organised Project Manager (Event Operations) to lead the planning, coordination, and execution of complex, high-impact events.
In this role, you will play a critical part in bringing events to life serving as both a strategic partner and the operational backbone that ensures every element comes together smoothly. From initial concept through post-event wrap-up, you will oversee timelines, manage partners, and drive flawless execution.

What You'll Do
Project Planning & Timeline Management
- Build and maintain detailed project plans and delivery schedules using Workfront (or similar PM tools), ensuring clear task ownership, deadlines, and dependencies
- Develop and manage master timelines, Gantt charts, and workback schedules to support project visibility and tracking across partners
- Ensure resource allocation, capacity planning, and task prioritisation align with strategic goals
Cross-Functional Coordination
- Collaborate with cross-functional teams (creative, content, marketing, design, and delivery) to gather requirements, set timelines, and align on deliverables
- Facilitate regular planning and status meetings, providing clear updates and maintaining strong communication channels across teams
- Manage collaborator expectations and foster alignment through proactive updates, and address issues of risks or delays promptly
- Identify potential project risks and blockers early, implementing mitigation strategies and escalating critical issues to leadership as needed
- Track interdependencies across workstreams to ensure timely execution and continuity of deliverables
- Maintain risk registers and contingency plans to safeguard delivery outcomes
Reporting & Process Optimisation
- Lead weekly project reporting, including timeline progress, risks, and resource planning insights
- Contribute to process improvement initiatives by documenting lessons learned, optimising workflows, and supporting the development of standard processes for project delivery
What You Need to Succeed
- Strong planning, scheduling, and multitasking skills to manage complex project timelines effectively
- At least 5 years of project management experience on large-scale projects
- Confident user of project management software Workfront
- Excellent communicator with natural organisational abilities to coordinate across teams
- Strong focus on processes, with the ability to adjust and thrive in demanding situations
- Experience in events, production, logistics, or agency environments is preferred but not mandatory
